Communications Management
 
The communications management process ensures the timely and appropriate generation, collection, dissemination, storage, and ultimate disposition of program information.
  1. Develop a Communications Management Plan. A communications management plan defines the regular meetings, reporting, and other communications that will take place during the program lifecycle. It will identify the type of information that will be included, the medium for communicating, and the audience to whom the program is directed.
  2. Develop Status Reports. Monthly status report information should be recorded and reported in an appropriate, approved reporting and tracking system, or via another accepted tool or method as described in the program management plan.
  3. Conduct Periodic Program Reviews. Periodic program reviews report on a program's schedule and budget status for a given time period. Periodic program reviews are conducted by the OCTO PMO and will cover the following:

    • General overview of the project's health
    • Project requirements overview and matrix
    • Team organization chart
    • Funding summary
    • Project costs
    Master schedule
    • Project staffing plan
    • Open issues and actions
    • Risk analysis
    • Performance tracking reports (for SLA projects)
    • Line item deliverable performance reports for firm-fixed price (FFP)
  4. Perform Issue Management Planning. The issues management plan is created to track and assign resources to program issues that may affect whether a task is completed successfully on schedule and within budget. Included in the plan is the program approach for escalation of issues and key information through the various management chains affected by the subject.
